Employees

The employee list on Employees is your team in OfficeDash. You add colleagues once, by hand or with an import from your HR application, and use them everywhere else in the app and on the office TV.

1. What the employee list is for

  • Picking colleagues: when you write a kudo on Kudos, assign a duty on Duties or make a spotlight on Spotlights, you pick the colleague from this list.
  • The people widgets on the TV: birthdays, work anniversaries, absences and new colleagues come from the HR application you connected. The employee list decides how each imported person shows there: with their name and photo from OfficeDash, or not at all when they are hidden. There is no birthday field in the list: birthdays come from the HR application.
  • Hidden employees stay on the list, marked Hidden, but never show on the TV.

The account holder, and members who are allowed to change employees, see the buttons to add, edit, hide and delete. Other members can only look at the list.

2. The daily import from your HR application

If you connected an HR or planning application with an employee import on Integrations, such as HoorayHR, Shiftbase or Simplicate, Employees shows the card Import from your HR application. Without such a connection, the card is not shown and you add employees by hand.

  1. Press the import button, for example "Import from HoorayHR". After a moment a line says how many employees are new, updated and hidden.
  2. Turn on Sync daily to keep the list up to date by itself: once a day, new colleagues are added and names, job titles and departments are updated. The card shows when the last sync ran, or when it failed.

How the import works:

  • Employees are matched by their id in the HR application, so an import never creates duplicates. Employees you added by hand are never changed.
  • Someone who is removed or archived in the HR application gets the badge "No longer in HoorayHR" (with the name of your application) and is hidden. They are never deleted.
  • Each imported employee has a Visibility select instead of Hide and Unhide: "Follow HoorayHR" (the default) shows or hides them as the HR application does, Show anyway always shows them and Hide anyway always hides them.
  • The next import overwrites the name, job title and department of an imported employee. Change those in the HR application. The photo and the visibility you set in OfficeDash stay as they are.

If the HR application cannot be reached, the card says "The import didn't work. Check the connection on Integrations and try again." Check the connection on Integrations and press the import button again.

3. Add and edit employees by hand

  1. Open Employees and press New employee.
  2. Fill in Name. It is the only required field.
  3. Optionally fill in Job title (optional) and Department (optional), and choose a Photo (optional) (see section 4).
  4. Press Save employee, or Cancel to close the window without saving.

On an employee in the list:

  • Press Edit to change the details, then Save changes.
  • Press Hide to keep someone off the TV without deleting them, and Unhide to show them again.
  • Press Delete to remove someone for good. OfficeDash asks "Delete this employee? This can't be undone." Confirm with Yes, delete or press Cancel.

To find someone, type in Search by name, or choose All, Visible or Hidden to see only those employees.

4. Photos

Add a photo with Photo (optional) when you add an employee, or with Replace the photo (optional) when you edit one. Press Remove the photo to take it off.

  • The photo can be a PNG, JPEG or WebP file of up to 2 MB and at most 4000 × 4000 pixels.
  • OfficeDash removes the location and other details stored in the file.
  • The import never changes a photo, so imported employees get their photo here too.

The photo shows on the TV wherever that employee appears, for example in the birthdays and new colleagues widgets.
