Users and abilities

Several people can sign in to the same OfficeDash account. You manage them under Settings (the gear in the top bar) > Users, at Users. Only the account holder sees that section.

1. Invite a team member

  1. Open Users.
  2. Under Invite someone, type the person's Email address.
  3. Press Send invite.

OfficeDash emails them a link. The link works once and expires after 7 days. Until it is used, the invite shows in the list of pending invites with its date, for example "Expires 7 Nov 2026" or "Expired 1 Nov 2026". Press Resend to send a fresh link that is valid for another 7 days, or Cancel to withdraw the invite.

Inviting people is on the Team and Business plans. On the Starter plan the page shows a plan note instead of the form; the account holder, the members and any pending invites stay visible, and you can still cancel an invite. When your subscription has ended, OfficeDash refuses new invites.

2. Accept an invite

The person you invited opens the link in the email. It leads to a page outside the app, so they don't need to be signed in first.

  • Someone new to OfficeDash fills in Your name and a Password, then presses Accept invite.
  • Someone whose email address already has an OfficeDash login enters their Password and presses Accept invite.

They are then signed in to your account. A few things can stop them:

  • An expired or already used link shows Invite no longer valid. Press Resend on the invite so they get a new link.
  • An email address that already belongs to another OfficeDash account can't join yours.
  • Someone who is already signed in has to sign out first, then open the link again.

3. The account holder and members

The account holder is the person who created the account. Their row in the list has the Account holder badge. The account holder can always do everything, and only they manage users, billing and the account itself, under Users and Billing in the settings.

Everyone else is a member. Members sign in to the same account and see the same dashboards, but they can only do what their abilities allow. A new member starts as Editor.

4. Grant abilities per feature

  1. Press Abilities on a member's row. The panel What {name} can do opens under it.
  2. Pick a Preset:
    • Viewer can view everything and change nothing.
    • Editor can do everything, except changing integrations: those stay view only.
  3. Or tick the boxes yourself. The matrix has a row per feature (such as Dashboards, Announcements, Employees, Integrations and Screens) and a column per action: View, Create, Edit and Remove. Ticking create, edit or remove also ticks view. When the boxes match neither preset, the preset shows Custom.
  4. Press Save abilities.

The change applies the next time the member does something; they are not signed out. Custom abilities are on the Business plan. On the other plans the boxes are locked, and you pick Viewer or Editor for each member.

A member who lacks an ability doesn't see the buttons for it, and a page they may not open sends them back to Settings. For what each feature covers, see Screens and Integrations.

5. Remove a member

  1. Press Remove on the member's row.
  2. Confirm with Remove, or press Keep to leave things as they were.

The member is signed out at once and can no longer sign in to your account. The account holder can't be removed. To stop someone who hasn't joined yet, press Cancel on their pending invite.
